We are searching for an Executive Administrative Assistant for an investment banking organization in Manhattan.

This is a permanent, full time position with a competitive salary and excellent benefits.

Responsibilities

In this position, you will:

Provide administrative support in a complex team environment to a senior group of executives
Coordinate complex, senior-level internal/ external meetings and conference calls
Handle a high volume of phones calls and interact with high level business leaders in a professional and effective manner
Support internal and external managers and clients
Organize and ship literature to clients
Respond and follow up on client requests
Maintain complex and extremely detailed calendars and prioritize meeting requests and related logistics
Coordinate a high volume of domestic and international travel arrangements and process expense reports
Prepare and distribute divisional correspondence, memos, letters, reports, or other documents as requested
Maintain understanding of firm policies and handle certain issues independently
Manage monthly invoices and arrange for payment
On-board new hires; and process new employees, transfers, terminations, etc.
Participate in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees, and group events
Order supplies and keep inventory well-stocked

Requirements

Education/Experience Needed
BA or BS preferred
Strong proficiency in MS Word, Excel, PowerPoint, and Outlook
5+ years experience preferred
MUST HAVE A STABLE WORK HISTORY
MUST HAVE A FINANCE BACKGROUND
